YourFunnelGuy Marketing OPC ("we," "our," or "us"), operating the HeyBen Benefits Operations Platform ("Service"), is committed to protecting the privacy of the individuals and organizations that use our platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information in accordance with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and its Implementing Rules and Regulations.

By using HeyBen, you agree to the practices described in this policy. If you do not agree, please discontinue use of the platform.


1. Information We Collect

We collect the following categories of information:

  • Account information: Name, work email address, company name, and billing details provided during registration.
  • Usage data: Log data, feature usage, session information, and interactions with the platform.
  • Uploaded content: Plan documents, SBCs, and other files uploaded to the knowledge base for AI processing.
  • Employee-submitted messages: Questions and service requests submitted by employees via triage email or the self-service portal, processed to generate tickets and AI-assisted responses.
  • Payment information: Billing details processed through our third-party payment processors. We do not store full card numbers on our servers.
  • Communications: Support requests, emails, and feedback you send to us.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, maintain, and improve the HeyBen platform
  • Process and categorize service requests on your behalf
  • Generate AI-assisted summaries and responses using your uploaded documents
  • Process subscription payments and send billing communications
  • Send transactional emails and platform notifications
  • Respond to support requests
  • Analyze usage patterns to improve product quality
  • Comply with applicable legal obligations, including those under Philippine law

3. Data We Do Not Collect

HeyBen is not designed to collect, store, or process protected health information (PHI). Users are instructed not to include PHI such as diagnosis codes, claim numbers, or member IDs in service requests or communications through the platform. We are not responsible for PHI inadvertently submitted by end users.

4. How We Share Your Information

We do not sell your personal data. We do not share your data with advertisers or marketing networks. We may share information with:

  • Service providers: Third-party vendors who help us operate the platform (e.g., cloud hosting, AI processing, payment processing, email delivery), bound by data processing agreements.
  • Legal compliance: When required by applicable Philippine law, regulation, court order, or legal process.
  • Business transfers: In connection with a merger, acquisition, or sale of assets, with appropriate advance notice to affected parties.

5. Payment Processing

Subscription payments are processed through Xendit, a licensed payment service provider regulated by the Bangko Sentral ng Pilipinas (BSP). When you provide payment information, it is transmitted directly to Xendit and governed by their privacy policy and terms of service. HeyBen does not store your full card number, CVV, or bank account credentials on our servers.

6. Data Retention

We retain your account data for as long as your account is active or as needed to provide the Service. Upon account termination or deletion request, we will delete your data within 30 days, except where retention is required by law. You may request deletion of your data at any time by contacting us at [email protected]. Uploaded documents and ticket data are retained per your account settings and can be deleted at any time from within the platform.

7. Security

We implement industry-standard technical and organizational measures to protect your data, including encryption in transit (TLS 1.2 or higher) and at rest (AES-256). For more detail, see our Security page. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

8. Your Rights

Under the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and its Implementing Rules and Regulations, you have the right to:

  • Be informed of how your personal data is collected and used
  • Access your personal data held by us
  • Correct inaccurate personal data
  • Request erasure or blocking of your personal data
  • Object to processing of your personal data
  • Lodge a complaint with the National Privacy Commission (NPC)

We use essential cookies to operate the platform (e.g., session authentication and security tokens). We do not use third-party advertising cookies or behavioral tracking cookies. The Service is intended for professional business use by individuals 18 years of age or older. We do not knowingly collect personal data from children under 18.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify account holders of material changes via email or in-app notification at least 14 days before changes take effect. Continued use of the platform after changes constitutes acceptance of the updated policy.
